Avoid Inactive SAP SuccessFactors users in Qualtrics

Are you struggling to manage an overload of inactive SAP SuccessFactors data clogging up your Qualtrics systems? To maintain alignment, you need to track when users are inactivated or even purged in SAP SuccessFactors and ensure that the same status is automatically updated in your Qualtrics directory.

While you can transfer the Active/Inactive status from SAP SuccessFactors to Qualtrics, this status is only transferred as metadata and will not impact the user’s account within Qualtrics.

Additionally, when a user is purged from SAP SuccessFactors, they disappear from the integration, meaning you lose the ability to track the status of their Qualtrics account.

The suite includes four workflow task extensions:

• Collect Project Users

• Change User Status

• Check User in SuccessFactors

• Anonymize or Delete Users

The tasks check the user status in SuccessFactors based on the integration input and update the following in the Qualtrics directory:

• Enables the account in Qualtrics if the user status is Active in SuccessFactors.

• Disables the account in Qualtrics if the user status is Inactive in SuccessFactors

• Anonymizes, deletes, or extends the account in Qualtrics if the account in SuccessFactors has been purged.

The anonymize, delete, and extension task can either run in a fully automated mode or in a setup where approvals for each identified account are managed individually via email.

With this suite, inactive accounts are processed first and active accounts afterward. This ensures that each user with multiple accounts in SAP SuccessFactors retains one active account in Qualtrics with the most relevant metadata.
